Nominations will be held at the PTO General Meeting (TBD).  All candidates for online submissions of officer positions must be registered with the Nomination Committee by (TBD).  Nominations will also be taken from the floor at the PTO General Meeting.  

 

 

 

 

 

 

 

 

Responsibilities:

  • Serve as leader and key contact for the PTO;
  • Preside at all PTO meetings;
  • Ex-Officio member of most committees;
  • Appoint chairpersons for special committees;
  • Coordinates the work of officers and committees so that the PTO's objectives can be met.  

 

Typical Monthly Tasks:

  • Prepare for and lead executive board meetings
  • Prepare for and lead PTO meetings
  • Have regular check-in meetings with the principal

 

Typical Annual Tasks:

  • Finalize the activities calendar with the principal
  • Set the schedule of monthly executive board meetings for the year
  • Update the signature cards at the PTO's bank
  • Double-check key organizational dates, including PTO's insurance policy renewal, incorporation with the state, and IRS Form 990 or 990-EZ, if applicable
  • Determine which officer and committee chair positions might need to be filled next year, and reach out for volunteers.

 

 

Responsibilities:

  • Act as an aide to President;
  • Perform the duties of the President in the absence or inability of that officer to serve;
  • Participate in executive board meetings and provide input for decisions;
  • Be an ambassador for the PTO and the school
  • Oversee committees, train committee chair people, and act as a liaison between committee chair people and the executive board.
  • Recruit new members throughout the year with the goal of recruiting one member for every student at Krahn - A Voice for Every Child!
  • Share the importance of PTO and publicize the vision, mission, priorities and benefits of membership.

 

Typical Monthly Tasks:

  • Participate in executive board meetings
  • Participate in general meetings

 

Typical Annual Tasks:

  • Celebrate successes at association and board meetings and through social media.
  • Manage communications and marketing for PTO, including but not limited to PTO email broadcasts, website, social media, and bulleting boards.

 

 

Responsibilities:

  • Maintain a complete file of all approved minutes, agendas, and material distributed at any official PTO meeting.
  • Attend executive board meetings and participate in discussions and decision making.
  • Record minutes of executive board meetings.
  • Handles PTO communication to the community including thank you notes, condolences, congratulations, etc.
  • Advised officers in parliamentary procedure, maintain the organizational bylaws, and makes amendments, if needed.
  • Coordinates the nomination and election of new officers.

 

Typical Monthly Tasks:

  • Use email to send meeting reminders.
  • Record and distribute minutes of executive board meetings and general meetings.
  • Prepares agendas for general meetings, as developed in the executive board meeting.
  • Record minutes of general meetings and distribute in a timely manner.

 

Typical Annual Tasks:

  • Maintain PTO email accounts and passwords.  Clean up accounts at end of year.
  • Maintain group mailing lists for the PTO Executive Board.

 

 

Responsibilities:

  • Study all references to duties and finances in the PTO bylaws, policies and standing rules.
  • Ensures PTO meets all requirements of the Standards of Continuing Affiliation.
  • Keep an accurate and detailed account of all monies received and disbursed.
  • Ensure all cash funds are counted by multiple individuals and documented with a Deposit Form.
  • Keep a permanent file of PTO Employer Identification Number (EIN), as assigned by the IRS, and the PTO sales tax permit, as assigned by Texas Comptroller.
  • Present a financial report of all accounts at all association and board meetings.
  • Attend executive board meetings and participate in discussions and decision making.

 

Typical Monthly Tasks:

  • Make timely deposits to the PTO bank account.
  • Make disbursements in accordance with the budget, as adopted by association membership, and verify each transaction is accompanied by a check request and necessary documentation.

 

Typical Annual Tasks:

  • Present the budget for approval at the September PTO meeting.
  • File Form 990/990EZ, the annual IRS return required for 501(c)(3) groups.
  • File sales tax reports to Texas Comptroller as required (annually, quarterly or monthly).
  • Maintain a list of assets owned by the PTO.
  • Submit all required items to the executive board in a timely manner.   

 

 

 

Responsibilities:

  • Organize all volunteer opportunities and sign ups as needed by the school and PTO.
  • Manage Raptor background check system for volunteers
  • Communicates with school community how to complete the annual Klein volunteer application.
  • Attend executive board meetings and participate in discussions and decision making.

 

Typical Monthly Tasks:

  • Check Raptor background check system for new volunteers.
  • Change status of membership in tool kit to background approved for all Klein approved volunteers.
  • Add new volunteers without an account to membership tool kit.  Send personal invite to join.
  • Send out welcome newsletter to new volunteers.
  • Create sign ups and communicate to volunteers.
  • Distribute list of volunteers to front office staff prior to event.
  • Report at monthly meetings current volunteer status for any upcoming volunteer opportunities.

 

Typical Annual Tasks:

  • Remind former volunteers of annual background check renewals and recruit new volunteers.
  • Assist volunteers with completing their annual Klein volunteer application (as needed).

 

 

 

Responsibilities:

  • Plan two fundraisers a year that align with the budget and goals of the organization.
  • Conceptualize and plan fundraisers.
  • Schedule and coordinate monthly spirit nights.
  • Form committees as needed to assist with fundraising.
  • Solicit donations.
  • Track income and expenses of fundraising activities.
  • Attend executive board meetings and participate in discussions and decision making.

 

Typical Monthly Tasks:

  • Act as the PTO liaison for all fundraisers and monthly spirit nights.
  • Collect and track any funding from spirit nights.
  • Send communication out to families in regards to upcoming spirit nights.
  • Reschedule monthly spirit nights or change sponsor if needed.

 

Typical Annual Tasks:

  • Contact protentional sponsors for spirit nights and fundraisers.  Present the list at the September executive board meeting for final decision.   
  • Recruit community partners.
  • Organize and appoint a committee to assist with yearly fundraisers.

 

 

 

Responsibilities:

  • Plan, coordinate, and executive the school holiday party, Valentine's party, teacher luncheons, community events, etc.
  • Attend executive board meetings and participate in discussions and decision making.

 

Typical Monthly Tasks:

  • Plan and shop for supplies of upcoming events.
  • Schedule DJ's, bounce houses, etc. (as needed).
  • Fill in as volunteer (if needed)
  • Report needs for any events at executive board meeting (volunteers, decorations, food, etc.)

 

Typical Annual Tasks:

  • Plan, coordinate, and executive school holiday party and Valentine's party.
  • Recruit sponsors for teacher luncheons and manage hospitality committee.
